Roastery operations · Richmond, Virginia
Turn a weekend of orders into a roast plan for the week.
Emberlot is operations software for small-batch coffee roasters. It builds your roast plan from the orders that come in, tracks green coffee by the lot, logs every batch that comes off the drum, and sends invoices when the coffee ships. It handles the operations side of the roastery. It is not a roast-profiling or cupping tool.
You already know how Monday goes.
Orders came in all weekend over email, text, and one voicemail. It’s 6 a.m. and the drum is warming up. You’re doing the math in your head. How much Colombia is left. Whether the house blend takes the last of the Brazil, and which account gets shorted if you guessed wrong. You’ll figure it out, the way you do every Monday. The trouble is that none of it is written down.
One system, four jobs
The paperwork side of a roastery, in one place
Roast planning
Takes the week’s wholesale orders and builds one plan. Batches are sized to your drum, with charge weights set and enough green set aside to cover them.
Green inventory by lot
Every lot is tracked by weight, origin, and what you paid. It draws down automatically as you roast, so the count on screen matches what’s in the bin.
Batch records
A record of what went through the drum: which lot, the charge and drop weight, and the shrink. Every batch is searchable and traces back to the bag it shipped in.
Invoicing
The order a cafe placed becomes its invoice, sent the day the coffee ships. You don’t re-key anything.
Why Emberlot
Most roastery software makes you sign for a year. We don’t.
Most roastery software wants an annual commitment, and the bigger plans push a one or two year term. A lot of it also moves you to a pricier plan the month you cross a volume line, often without asking first. Emberlot doesn’t do either of those.
Month to month
Cancel any time.
There’s no annual contract. You’re not signing for a year before you’ve even run a batch on it. Keep it as long as it’s useful and cancel when it isn’t.
No surprise upgrades
Your bill doesn’t change on its own.
Say you have a big December and go past your band. Nothing shuts off, and nobody moves you to a higher plan on their own. We’ll point it out. If the higher volume sticks around, you move up when it makes sense, and not before.
Human support
The people who built it answer support.
There are four of us, and we answer our own support email. When you write in, you get someone who has actually roasted, usually within the day. Emberlot only handles the operations side of a roastery, so support questions stay in territory we know.
One line of scope, stated once: Emberlot is the system of record for a roastery’s operations, not a roast-profiling or cupping tool. The roast stays yours. Keep using whatever draws the curve.
The proof
What the screens actually look like
This is a week’s roast plan on a 12 kg drum, with blends resolved to their component lots. The green list ticks down as you check batches off. The last image is a single batch record: charge weight in, drop weight out, the shrink between them, roast level, and batch ID. These are product screens, not testimonials. We haven’t collected quotes we’re cleared to publish yet.
Written down, once
What you roasted, which lot it came from, and who owes you for it.
For the person who wears every hat
The owner-roaster
You buy the green, run the drum, deal with the accounts, and chase down invoices, often before lunch. Emberlot puts those jobs on one screen.
The production lead
If the shop is big enough to have a production lead, you’re on the deck with a tablet. You handle batch sizing, blends, and shrink, and you don’t recount green at 4 a.m. Emberlot is built to stay out of the way while you do it.
Your accounts order here too
Cafes and restaurants place standing orders through the portal. There’s no app to download and no login for them to forget. Whatever they order feeds straight into your roast plan, and later into their invoice.
Your data is yours
Your green list, your accounts, and your batch history belong to you. Export all of it to CSV whenever you want, including the day after you cancel. The plan is month to month, with no annual lock-in.
See it run on your data.
It takes thirty minutes. Bring a week of your orders and we’ll build the roast plan live, or watch it run on a sample roastery first if you’d rather. No slides either way.
